Automation magnifies whatever is already in a workflow, including missing owners and silent failure paths; start with the operating logic on one page so people can challenge it before a tool begins repeating it.

Exercise: "Map this workflow before suggesting any automation. Use these headings: Trigger, Inputs, Rules, Actions, Exceptions, Human approvals. Under each heading, record what happens, who owns it, and what information is required. Then write test cases for a duplicate request, a missing owner, and a notification failure. For each test, give the expected behavior, the human fallback, and the evidence we should log. Do not recommend tools until the map and tests are complete."

The outcome is a reviewable workflow map, three failure tests, and a clear record of where a person must approve, recover, or investigate; run the test cases with sample data, assign each fallback to a named role, and confirm what gets logged before you select software or connect a live system.
